POSITION OVERVIEW
The Seasonal Associate Manager, Volunteer Resources will support all processes related to recruiting and onboarding volunteers for the Sundance Institutes programs.
Working closely under the direction of the Senior Manager, Talent, the Seasonal Associate Manager, Volunteer Resources is charged with recruiting, placing, and onboarding volunteers for the Institutes labs and summer programming. This position will also support Festival metric and wrap processes for the Volunteer Program, as well as initial planning for the Sundance Film Festival.
This full-time, temporary position will work remotely from Monday, March 18, 2025 through Friday, August 1, 2025. Extended hours, including mornings, evenings, and weekends will be required at key points.
Top priorities include but are not limited to...
• Leading volunteer recruitment and onboarding efforts for the Artist Labs and Utah Community Programs.
• Utilizing the Institutes Applicant Tracking System (ATS) to post, recruit, and interview volunteer applications for the Labs programs.
• Working with assigned Institute teams to understand their needs and place qualified applicants in roles.
• Managing activities, metrics, and functions of the Sundance Institute's Volunteer program.
• Collaborating with the Senior Manager, Talent to write and deliver volunteer communications, including schedules,, web updates, newsletters, social media, etc, and managing daily external communications in the volunteer email inbox and phone line, including generating, issuing, and tracking onboarding paperwork.
• With the Senior Manager, Talent, ensuring all aspects of the databases are functioning and accurate including, conducting regular audits and transfer of information between multiple databases.
• Collaborating with Technology Services and other departments to implement changes to databases, including reporting, testing, archiving, and data transfers between systems.
• Ensuring accurate tracking, reporting, and review of volunteer attendance, service hours, and performance reviews.
• Ensuring Institute teams are empowered to provide comprehensive feedback to volunteers and hold them accountable, including facilitating coaching or disciplinary action processes for volunteers in cases of poor performance or misconduct.
• Creating summaries of exit surveys and reports based on volunteer experiences and happenings of the 2025 Sundance Film Festival to make recommendations for future Festivals and events based on findings.
• Supporting the budgeting and labor planning processes for the Sundance Film Festival, updating the database to create accurate projections of volunteer needs for future programs.
• Fostering strong relationships through all forms of communications with volunteers and Institute teams, providing ongoing and accurate information and timely responses to their inquiries.
• Providing support as well as accountability with Institute teams to ensure alignment with department processes.
• Tracking, building, and facilitating training sessions.
• Auditing, tracking, and monitoring volunteer schedules, attendance, and absences via our online scheduling system, Bloomerang Volunteer.
• Establishing and maintaining partnerships internally and externally with universities and community organizations to build talent pipelines.
• Providing on-call after hour coverage during the key events to answer volunteer related questions, concerns, or emergencies as necessary.
• Reviewing submitted volunteer evaluations with departments and conducting follow-up to compile relevant information as needed.
• Supporting Festival planning processes including application preparation, recruitment, communications, and process in preparation for the 2026 Sundance Film Festival.
• Conducting targeted outreach to communities surrounding Salt Lake City and Park City.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 3 years experience working with volunteers or related.
• Experience creating and conducting training or orientations.
• Leadership skills with a background that includes demonstrated experience working effectively on a team.
• Strong project management skills, with the ability to maintain multiple projects simultaneously.
• Excellent interpersonal, written, and verbal communication skills.
• Ability to interact effectively with all levels of employees, external vendors, and a variety of people, including having cultural sensitivity.
• Prior experience with ClearCompany, Bloomerang Volunteer, and FileMaker preferred.
• Demonstrated ability to maintain confidential information.
