We are hiring two Import/Export Logistics Manager to be based in Miami, FL for a fixed 12-month period with an option to renew for an additional 12 months, to manage the import/export/freight logistics and marketing for a variety of events, experiences and special project build outs across the US and globally. The Logistics Manager will support the needs of multiple brand initiatives which range from high-level global event logistical support to long-term developmental needs and operational needs related to a foundational and permanent development project.
In this highly visible role, the Import/Export Logistics Manager will also be heavily involved in sourcing, purchasing, and guest services alongside the marketing and logistics responsibilities. Travel is also required for this position in and outside of the US to support retrieval of items and load in for events.
Import/Export
• Coordinate all activities related to cargo pick up from any point in the US and globally inclusive of delivery to ports of export, request bookings with airlines, AES filing, export documentation (commercial Invoices, etc.)
• Preparation of import/export documentation in accordance with US regulations and in compliance with government agencies for each shipment across various international and domestic markets
• Utilizing in-house systems to produce shipping documentation and tracking
• Coordinate routing of all outbound export shipments and send pre-alerts to destination offices and agents in a timely manner
• Monitoring shipment progress and provide update milestones to relevant team production leads
• Handling documentation, tracking, shipment status updates, customs release, ISF input, data entry.
• Working with various vendors, shippers & consignees for a variety of products inclusive of furniture, stage materials, food, beverages, lighting and more
• Develop and implement strategies to improve efficiency and reduce costs
• Assist team and work with air/ocean/trucking/freight forwarders and customs agents/border patrol as needed with bookings
• Work with team to coordinate with shippers, vendors, and customs brokers to provide service delivery of goods
• Ensure compliance with all relevant regulations and standards in operations
• Maintaining good relationships with various vendors such as carrier, truckers, terminals, and etc.
Logistics
• Serves as the point person for all freight forwarders while directing schedules.
• Leads and supervises the global movements of high-value cargo (including art, equipment, and materials) until safe arrival to event destinations
• Manages imports and directs clearance; organizing documents and working closely with US or relevant country custom brokers for clearance.
• Manage ClickUp page and lead weekly team meetings
• People:
• Schedule travel for technicians and service providers. Including flights, accommodations, and work permits if needed; book private charter flights when necessary
• Heavy Equipment Maintenance: Responsible for scheduling technicians to service and treat all heavy equipment before it sails to Torch Cay.
Procurement
• Responsible for sourcing and purchasing all cargo needed. Includes:
• Sourcing/Purchasing for on-site team needs – construction & facilities
• Special Projects/High Value Items
• Manage the high priority and hyper-customized projects from conceptualization, sourcing and purchasing to final arrival at event and build locations
• Locate vendors, gather quotes, and negotiate prices.
• Work with AP for payments through Concur.
• Work closely with PMC's legal team and insurance brokers to ensure all high value items are insured upon arrival at event locations.
Skills Needed:
• Logistics/maritime experience
• Strong communication skills, detail oriented, highly organized, cost efficient, team player, ability to research in a fast-paced environment
• Adobe CS; marketing
• Strong organizational and reporting skills
• Ability to maintain relationships with high-profile individuals
Typical wage range: $70k-$80k. Factors that could be used to determine your actual salary may include your specific skills, years of experience and comparison to current employees already in this role. The total compensation package for this position will also include other elements, a full range of medical, financial, and/or other benefits including 401(k) eligibility and paid time off benefits.
