Golden Globes: Awards Associate

The Golden Globes is one of the most prestigious and highly anticipated events in the entertainment industry, celebrating excellence in film and television. As an Awards Associate, you will play a pivotal role in supporting the execution of awards initiatives, ensuring smooth communication and alignment between stakeholders, and upholding the integrity of the nomination and voting processes. Reporting to the President this role involves managing critical awards-related workflows and communications, with a particular focus on content management, design oversight, and stakeholder engagement.

Primary Responsibilities:

Screening Platform Management:
• Engage screening platform and coordinate with vendor to execute agreement.
• Work with legal to finalize LOI/vendor agreement and submit for execution.
• Oversee platform design updates.
• Review and approve distribution of screening notification e-blasts and ensure alignment with eligibility rules and campaign guidelines.
• Act as the primary point of contact for troubleshooting platform-related issues.
• Generate and review monthly reports for screening platform activities.
• Collaborate with Indee, finalize monthly reports and charges, and request invoices from finance to process.
• Monitor payment receipt for platform services and activities.

Mailing Houses Management:
• Engage mailing house vendors annually and coordinate agreements.
• Work with legal to finalize NDAs/vendor agreements and submit for execution.
• Facilitate stakeholder introductions for mailing campaign coordination.
• Approve e-blast designs distributed through mailing houses.
• Generate and review monthly reports, including charges, and request invoices from finance to processing.
• Monitor payment receipt and confirm services are executed accordingly.

E-Blasts Coordination:
• Engage stakeholders for e-blast campaigns, including screening notifications, press conferences, in-person screenings, and For Your Consideration (FYC) events.
• Review and approve e-blast designs across all campaign types.
• Ensure proper invoicing workflows are followed in collaboration with finance.
• Generate RSVP Google Forms for screenings and import tracking sheets to share with studios.
• Monitor RSVPs, send confirmations, Zoom links, and/or transcripts for attendees.
• Alert studios of last-minute changes and act as the point of contact for troubleshooting.
• Track all activities in the revenue tracker and RSVP tracking grid.

Physical Mailings:
• Coordinate physical mailing campaigns by engaging stakeholders and approving materials.
• Determine mailing houses and invoice needs.
• Track all mailing activities in the revenue tracker.

Additional Administrative Duties:
• Ensuring the content of all communications aligns with Golden Globes branding, rules, and guidelines.
• Collaborate with team members to address discrepancies and implement process improvements.
• Maintain organized records for reporting purposes.
• Schedule and approve the distribution of Golden Globes newsletters.
• Specific to Golden Globes Awards night, oversee and manage engraving station, car placards, and proofing the plaques

Basic Qualifications:
• 2-3 years of experience in communications, awards management, or entertainment role, with exposure to awards processes considered a plus.
• Exceptional organizational skills and meticulous attention to detail.
• Strong written and verbal communication skills, with the ability to engage professionally with diverse stakeholders.
• Proficiency in content management systems, email marketing platforms, and design approval processes.
• Experience working with vendors, such as mailing houses, and managing digital communications.
• Familiarity with submission platforms is highly desirable.
• Ability to work well under pressure, manage competing deadlines, and maintain flexibility during fast-paced periods.

Preferred Qualifications:
• Knowledge of Golden Globes rules, guidelines, and processes is a significant asset.
• Familiarity with current film and television content, industry players, and trends in the entertainment landscape.

Work Environment:
• This role may require occasional evening and weekend work during the awards season to ensure timely completion of tasks.
