Job Description
This position is the primary support for our VP, Post Production/Post Producer. This position works closely with the Post Production team to play a critical role in facilitating the day-to-day post production objectives while also providing administrative support.
RESPONSIBILITIES:
• Support the VP, Post Production in managing various schedules and meetings to ensure smooth operations of the department
• Work closely with each production to schedule, set up and coordinate dialogue recording sessions. This includes arranging studio teachers for minors, setting up tests between internal and external studios and sending out call sheets
• Coordinate logistics for on/off-site meetings and department events
• Ensure proper preparation for meetings and reviews as needed
• Arrange all travel and accommodations for the VP & project based editorial and music teams as needed
• Manage and reconcile expense reports, invoices and receipts
• Proactively manage calendar with fluency and accuracy; with attentive detail to fluctuating and conflicting schedules
• Optimize departmental records in Google Docs
• Special projects as needed
• Regularly handle sensitive information in a discrete and confidential manner
• Successfully organize and manage the day-to-day tasks and operations, which may include, but are not limited to:
• Phone, email, and mail correspondence
• Shipping
• Contacts and electronic files
• Office supply needs
• Working meals and catering needs
QUALIFICATIONS:
• Three years of practical experience, preferably as an Assistant and/or Coordinator in post production or feature-animation or VFX production
• Able to anticipate and adapt to the changing nature of a production environment
• Understanding of production terminology and the production environment. Knowledge of animation terminology and environment a plus
• Bachelor's Degree or equivalent experience in feature-animation production preferred
• Driver's license with a car to travel to various studios

• High level of confidentiality and professionalism in working with external and internal talent
• Computer literacy and ability to work with databases as well as standard word-processing and spreadsheet software
• Flexible nature with the ability to anticipate needs, problem solve, and prioritize multiple tasks and activities in a dynamic, deadline-driven work environment
• Ability to work autonomously and on a team
• Ability to maintain focus on detailed priorities in a dynamic work environment
• Ability to self-organize and follow organization system of the department
• Ability to communicate effectively with others at all levels
• Willingness to travel a plus
• Proficiency with Excel, Word and G-Suite; Experience with project-planning applications a plus
Expectations to be onsite 4-5 days a week as needed. Weekends and evenings as needed with notice. OT eligible position.
The hiring range for this position in Emeryville is $58,395.00 to $75,570.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.
