Job Description
WHAT IS THE ROLE

The Workplace Manager will work closely with the Head of Facilities, to ensure the effective delivery of all soft services across Paramount's UK portfolio. Paramount's aim is to provide an inclusive and exceptional experience for all employees, whether working from the office or remotely. This role will be responsible for ensuring that the services provided reflect the needs of the business and actively represent and promote Paramount's company values. This role will focus on customer-centric solutions, developing strong working relationships, seeking to understand requirements and exceeding expectations. The responsibilities of this position include, but are not limited to, the following activities.
• Mentoring and development of two Facilities Coordinators, instilling a customer-orientated approach to FM.
• Monitoring and reviewing third party contracts for the following services:
• Reception, concierge and helpdesk
• Cleaning, waste management and pest control
• Staff catering, hospitality and vending
• Mail and courier services
• Assisting with development of the UK OHSE system, including policies, procedures, arrangements and reporting.
• Assisting with the OPEX and CAPEX budgets for London and construction of the annual budget submission.
• Management of Paramount's off-site storage contracts, ensuring accurate inventory and cost control.
• Coordination of all UK office moves, including the management/supervision of external resources.
• Management and procurement of all furniture assets and coordination of installations.
• Landlord liaison and FM service provision for Paramount's leased office spaces and UK production hubs.
• Coordination of FM services for internal events, including catering, cleaning, space planning, H&S.
• Coordination of kitchen equipment and refrigeration maintenance and servicing.
• Coordination of FM Communications including digital content and marketing campaigns.
• Employee Resource Groups liaison and support.
• Project management support as required, ensuring cost efficiency and timely delivery.
• Production and maintenance of policies and procedures across the full Soft Services spectrum.
• Maintain effective, professional relationships with all support departments including Security, Technology, Studios, Legal and Finance to fulfill job responsibilities.

WHAT SKILLS, EXPERIENCE AND TRAINING DO YOU NEED

EXPERIENCE
• Proven experience of working as part of a Facilities Management team.
• Proven experience of managing third party contracts.
• Proven experience of managing OPEX and CAPEX budgets.
• Proven experience of managing space and office moves.
• Proven experience of managing direct report staff.

SKILLS
• Excellent communication skills, both written and verbal.
• Ability to build effective relationships at all levels.
• Detail orientated, excellent prioritisation ability and strong organisation skills.
• Flexible with the ability to work under pressure and to tight deadlines.
• Enthusiastic but calm under pressure, with a common-sense approach.
• Committed, reliable and capable of working well both independently and as part of a team.
• Ability to deal with confidential information discreetly.
• Strong interpersonal skills and good team player.
• Highly motivated, committed and enthusiastic.
• Creative problem-solving ability.

TRAINING
• 2 years + experience in a managerial capacity.
• Formal Facilities Management qualification such as IWFM, RICS, CPD.
• IOSH Managing Safety or NEBOSH qualification.
• AutoCAD LT (beneficial but not required)
• Proficient user of MS Office, Word, Excel, PowerPoint, SAP.
