Job Summary
The Project Specialist will play a crucial role in ensuring smooth project operations by managing project tasks, working with various departments, and maintaining comprehensive project documentation. Along with the Project Manager-Real Estate, this position manages and tracks construction timelines and project budgets through extraordinary organizational skills and comprehensive project documentation.
Essential Functions
• Track and measure project activities, timelines, budgets and resources, ensuring project milestones are tracked and deadlines are met in conjunction with the Project Manager and local operational teams.
• Actively participate in construction meetings with all applicable parties on site. These meetings should include the discussion and review of potential change orders, problems, schedule, budget, any pending requests and any pending areas of interest. Requires frequent travel.
• Maintain and organize project documentation, such as RFPs, executed contracts, reports, and other critical documents, ensuring they are stored correctly and easily accessible to team members.
• Review plans and specifications for suitability of AEG use; operational flow, site logistics, event safety and future operational cost and make recommendations to department leadership.
• Serve as a liaison between the project management team and other departments, stakeholders, and external construction partners, vendors and government agencies responsible for Zoning, Permitting and Inspection Walkthroughs ensuring clear and timely communication with all stakeholders.
• Aid project management team in managing relationships between all applicable parties, including local market leadership and operators, to ensure successful completion of project and turn over.
• Prepare and distribute regular project status reports, analyzing progress, risks, and any issues that need attention in time sensitive projects.
• Track project budgets and expenses, prepare financial reports, and aid in ensuring that project spending stays within budget.
• Provide on-site support to the Development team at various project locations.
Required Qualifications
• BA/BS Degree (4-year) Related field
• 4-6 years of related work experience
• Experience with venue operations
• This position requires strong knowledge of the latest BIM tools and specific construction and building standards in MPE.
• This position requires strong organizational skills, the ability to multitask, and a proactive approach to problem-solving as well as an understanding of the music industry and concert venue operations and the phases of construction.
• Proficient in AutoCAD, SketchUp, Rhino, or 3D Max
• Capable of working in a fast-paced environment
• Proficiency in Microsoft Office programs (Word, Excel, Outlook, PowerPoint) with the ability to learn required business systems
• Must have excellent written and verbal communication skills
• Strong interpersonal skills with the ability to establish and maintain effective working relationships
• Must be able to work long irregular hours for an extended period of time as dictated by events and schedule, including nights, weekends and holidays
Pay Scale: $72,138-$109,301
