Our new hire will be reporting to the Head of Publicity but providing administrative assistance and support to the entire Publicity department.
What will you be doing?
• Leading the administration and distributing of all titles on the internal media management site. To include ensuring images are made available to press in time for deadlines
• Own the booking and monitoring all official press screening dates with the FDA including Scottish National Pres Show.
• Overall responsibility of booking all mop-up screenings.
• Press team first point of contact for the FDA.
• Booking and co-ordination of catering for all FDA screenings.
• Booking security for screenings
• Hosting/check in at press screenings (daytime and evening as required) including overseeing the Week of Release Screening and relationships with the National Critics.
• Servicing press materials
• Updating and servicing to all press the Paramount Forthcoming Slate on a regular basis
• Sending out film specific release date press releases as soon as synopsis information available.
• Sending out change of release date press releases when necessary.
• Manage invites and RSVP's for Week of Release screenings.
• Maintain publicity calendar
• Update publicity notes document with upcoming weeks meetings, premieres, WOR screenings
• Ensure weekly minutes are up to date ahead of the distribution meeting with latest screening info, clip placements, breaks, key reactions, approved reviews
• Liaise with the Publicity team/Marketing team to pull images for LA decks
• Running the check-in desk at all UK junkets
• Update weekly competitive reviews document and circulate internally
• Compile and update competitive premiere/gala document
• Save weekly premiere document from FDA and circulate to the Publicity team as a PDF
• Sharing schedules with DMS ahead of a junket to ensure they are up to date on upcoming breaks
• Ensure TV show links are requested and shared with Head of Publicity in a timely manner
• Printing and compiling of all talent folders for UK junkets
• Liaising with journalists with regards to upcoming screenings/junkets.
• Overall responsibility for the upkeep of the PPUK mailing lists including full involvement with new database agency and creation of new lists, plus upkeep of these lists.
• Scanning features and covers UK publicity have achieved and sending to LA.
• Ensuring additional copies of key outlets are ordered for dispatch to LA/Film makers.
• Logging all reviews/reactions received for each film release/screening and sending to Head Office and UK Marketing team.
• Booking meeting rooms/catering for meetings when required.
• Highlighting new magazines/supplements to rest of Publicity & Marketing team.
• Highlighting interesting features/interviews to publicity & marketing team.
• Booking hotel, flights and transport for journalists and talent when required.
• Assisting with hotel and airport arrivals/departures (Early morning/late evening).
• Tracking PO's.
• Track and update the BTA Credit card tracker document with spend from the team.
