Legal Coordinator - Silvergate

Silvergate Media is an award-winning media company developing world-class children's brands with offices in London, New York, Culver City and operations in China. The key purpose of the Legal/DEI Coordinator is to provide full administrative support for the Legal team at Silvergate and to coordinate DEI initiatives across all three Silvergate offices. The daily responsibilities will include administrative support for the Legal team, including processing and managing legal files and filing systems. This team member should have an enthusiastic interest in the entertainment business and in serving as the interface/liaison between Legal and several of the other departments of the company, with both internal and external contacts. This role will report to the EVP of Business and Legal Affairs and Chief Diversity Officer.

Responsibilities:

1. Administration of Confidential Documents:
• Appropriately handle and maintain confidentiality of sensitive legal documentation and corporate information.
• Coordinate the distribution of drafts of and obtain signatures on contracts.
• Distribute legal documentation as requested by Supervisor and other attorneys.
• Create and maintain files of contracts for the Legal team.
• Create and maintain a log of contracts and documents filed.
• Locate and obtain archived documents for the Legal team.
• Provide administrative support to other attorneys in the Legal Department, as needed.
• Juggle multiple tasks, prioritize workload independently, and work autonomously within scope of job responsibilities.

2. Calendars:
• Maintain Supervisor's calendar.
• Maintain the contract calendar regarding expirations and renewals.

3. Correspondence and Meetings:
• Receive incoming mail addressed to Supervisors and process accordingly.
• Prepare and send dictated letters, emails and form agreements on behalf of Supervisor or other attorneys.
• Mail correspondence as requested by Supervisor or other attorneys.
• Arrange and schedule meetings across multiple time zones as instructed by Supervisor.

4. DEI Support:
• Support the creation of decks, presentations, and other materials
• Event planning and execution across three Silvergate offices
• Coordinate DEI related trainings and seminars
• Attend meetings with DEI vendors and contacts to support in the implementation of Silvergate's DEI Strategy
• Create and maintain diverse talent databases and assist in recruiting initiatives

Qualifications:
• Track record of success and recognition in effectively carrying out administrative function.
• Interest and knowledge in television production, particularly children's media.
• Interest and enthusiasm in DEI and sensitivity in discussing DEI-related topics.
• Strong interpersonal skills with an ability to build effective relationships.
• Ability to multitask and effectively function in an ever-changing business environment.
• Self-motivated individual who knows where to go to find answers to questions.
• Proficient in Microsoft Office Programs.
• Confidence and familiarity working with office technology – photocopier, PC, etc.
• Highly organized – filing and other general office procedures.
• Strong verbal and written skills to effectively handle business correspondence and communications.
• Be able to appropriately handle and maintain confidentiality of sensitive legal documentation and talent information
• 2-3 years of administrative experience, (preference for admin experience within an in-house legal department, and 1+ years of experience within the entertainment industry)
