Overview and Responsibilities:
The HR Coordinator is responsible for supporting the Showtime and Paramount Television Studios teams with regards to systems, processes, employee life-cycle events, trainings, and projects! They must be highly organized, demonstrate initiative, solid attention to detail and have a desire to learn more and be involved in projects!
Responsibilities to include, but not limited to:
Recruiting/On-boarding:
• Provides direction to hiring managers on the recruitment process and collects necessary information to initiate requisition requests
• Liaises with Talent Acquisition department and hiring managers for purposes of onboarding new employees
• Onboards new employees (computer set up, facilities & telecom liaison, ID Badge office)
• Updates new hire orientation roster (weekly)
• Greet new hires and process I-9s
Position/people management:
• Answers general employee questions, research problems and/or refer issues to HR Partner
• Processes and/or provide instructions to managers on processing all position or employee change transactions including promotions, equity adjustments, transfers, reports-to changes, etc. in SuccessFactors
• Track status of all position and employee change transactions in SuccessFactors and follow up with approvers as needed
• Processes promotion letters and corresponding confirmation letters for employment change
• Assist in preparing compensation requests and gathers all relevant information (resume, job descriptions, org charts)
• Tracks, processes, and maintains all actions for Contractual Employees within Onset contract management system.
• Requests new job codes as needed (for promotions, new positions, title changes)
• Requests new positions or eliminates positions as needed
• Maintains organizational charts and job descriptions
• Process actions term deal employees
Termination/off-boarding responsibilities:
• Processes and/or provide instructions to managers on processing terminations
• Compiles exit packets, benefits & equipment information, relevant documents, and requests final checks from Payroll
• Liaises with employee to schedule exit interview, submit final timesheet, return equipment, etc
• Works with supervisor for purposes of off-boarding (out-of-office emails, outstanding items)
• Off-boards exiting employee
• Helps conduct exit interviews as needed
Other responsibilities:
• Manages temporary employee workforce (temps and independent consultants) which includes tracking, processing and obtaining approvals. Works closely with preferred temporary workforce vendor to ensure orders are approved and budgeted.
• Serves as team member for several on-going HR projects and assists with planning HR team meetings
• Coordinate meetings as needed for Senior Vice President
• Process expense reports for Senior Vice President
• Creates complex Excel spreadsheets for projects as designated by the team
• Runs reports as needed
• Works on special assignments and projects as needed
Basic Qualifications:
• Bachelor's degree or requisite work experience
• 2 years of Human Resources experience
Additional Qualifications:
• Advanced Microsoft Office, Excel, Powerpoint and Visio skills
• Experience with personnel and payroll data systems is desirable, preferably SuccessFactors and/or Peoplesoft
• Must have strong organizational skills
• Strong diplomacy and adaptability attributes to deal effectively with senior executives
• Must be able to plan for, track, prioritize and implement multiple recurring and ad hoc tasks
• Strong analytical and critical thinking skills with extreme attention to detail
• Capable of working well under time constraints in a fast-paced environment
• Must have the ability to take initiative and work independently
