Reporting to: VP Acquired Products Distribution & VP Sports Distribution

ABOUT US / BUSINESS BOILER PLATES, VALUES/ OVERVIEW
The Sales Coordinator reporting to the VP Acquired Products Distribution and the VP Sports Distribution is responsible for all aspects of sales support as well as day to day administration. The role also provides departmental support including coordinating marketing materials, product management, market-planning and liaising internally and externally to ensure smooth operation of deals. This role is client-facing and is a vital part of the team.

JOB DESCRIPTION

Key Responsibilities:

⦁ Working with product group to help create localised product summary ''Sell Sheets'' and sending them to clients
⦁ Providing support to the Sales Team with pitching high volumes of new content to clients: and compiling and delivering product presentations, updates, notifications, screeners to clients
⦁ Staying up to date on NBCU and competitor content
⦁ Calculating license fee allocations for one-off Feature Film and TV Package Deals and entering product/financial details into sales database (SAFE)
⦁ Updating sales database (SAFE) system with details of new sports deals and amendments to existing deals
⦁ Work closely with the VPs, and other members of the team prior to, throughout and post the negotiation and sales process
⦁ Respond to client requests/issues in a timely manner and assist with problem solving
⦁ Create and maintain product trackers and solicit client feedback on new shows
⦁ Liaise with the Materials Distribution team regarding supply of materials to broadcasters
⦁ Liaise with the Marketing team to ensure client support and provision of marketing materials
⦁ Liaise with the Finance team regarding contract payment and billing
⦁ Liaise with the Legal team regarding deal papering
⦁ Liaise with Acquisitions team and organize the hit list calls
⦁ Liaise with any other internal stakeholders relevant to the sales process (eg. New Media, Home Video, Formats)
⦁ Support development of team intern

Administrative Support

⦁ Active diary management including coordinating internal, external meetings and conference calls ensuring both VP Acquired Products Distribution and VP Sports Distribution are available for arranged meetings and advised of any changes to their schedule in advance
⦁ First point of contact for all external matters including call screening, processing mail/post, meeting requests
⦁ Coordination of travel arrangements and bookings including creating and managing detailed itineraries contact sheet and document preparation – appropriate knowledge of travelling requirements, standards and schedules
⦁ Manage and update contact databases (any other systems required)
⦁ Approve invoices for Acquired Products team
⦁ Preparation and processing of expense reports ensuring timely repayment of corporate credit cards
⦁ Take a proactive interest in the business and support the VPs with tracking progress and follow-up of key initiatives
⦁ Assist the VPs in tracking work by following up with relevant colleagues and team members to ensure it is completed and submitted for approval within agreed timeframe
⦁ Track, print and compile reports that require review/approval ensuring sufficient time is built into VPs diaries
⦁ Provide administrative support for various projects including PowerPoint and other presentation materials
⦁ Assist with special projects and perform other duties as assigned

Markets & Virtual Event Support
⦁ Coordinate travel arrangements and schedules for the VPs
⦁ Coordinate and schedule meetings and social events during relevant markets (LA Screenings, MIPCOM, etc.)

Organize slate presentations, working with UPCG Marketing/PR to come up with fresh ideas
⦁ Manage client screening events

SKILLS / QUALIFICATION REQUIREMENTS

⦁ High standards of deliverables (i.e. presentations agendas, quality of files)
⦁ Exceptional organisational skills essential: reliable, extremely detail focused, strong sense of initiative with the ability to multitask
⦁ Experience of generating data driven reports and database management
⦁ Ability to work independently yet as an integral part of a close-knit team
⦁ Ability to drive projects through to completion, anticipating next steps and preventing problems
⦁ Proactive and solution-focused individual with a positive attitude
⦁ Able to balance and prioritise a busy workload in a fast-paced environment
⦁ Must have excellent communication skills including report/letter writing and excellent telephone manner
⦁ Strong sense of initiative and a proactive style
⦁ Experience of working in an administrative role
⦁ Ability to work with confidential and sensitive information in a discreet manner
⦁ Previous experience within a TV/Film Sales or Media environment preferred but not essential
⦁ Familiarity with industry practice around Film and TV Windowing is desirable
⦁ Ideally, the candidate will be interested to progress in a TV sales career
⦁ Passion for Film and TV essential
