Job Description
Responsibilities
• General office and assistant work for Directors, Producers and Production Managers.
• On Set P.A duties in studios and on locations.
• Coordinate completion and filing of COIs, location contracts, vendor agreements, and fire department permits.
• Onboard all new crew members using Smart-Start application.
• Track vehicle accidents, loss, and damage.
• Create and send personnel list to stage security.
• Assist with distribution of mass production emails.
• Weekly updating of Google spreadsheet to track shared expenses for budgeting.
• Verify all production units submit expense reports in a timely manner.
• Ensure company assets (laptops, printers, phones, etc.) are distributed at start of season and collected at end of season/end of employment term.
• Review post-production and split unit timecards and submit to payroll.
• Assist with booking and approval for crew member hotel reservations.
• Coordinate promo shoots in Studio 8H.
• Identify, set up, and clean up cast dressing rooms and background holding space.
• Negotiate trained animals, book, and coordinate with handler on set.
• Help other coordinators track script rewrites and submit changes to cue card department.
• Assist with interviewing and hiring PAs and interns for Film Unit.
• Order Film Unit ID Badges: distribute at start of season and collect at end of season/end of employment term.
• Order and track stage supplies (office supplies, water, etc.)
• Ensure kitchen is prepared and stocked for caterers.
• Provide general administrative assistance on production's dark weeks (miscellaneous receipts, invoices, timecards, etc.)
• Act as a liaison between departments and producers.
• Creation of call sheets, production reports and distribution lists.
• Secure shooting permits with the Mayor's Office of T.V and Film.
• Other responsibilities as assigned.

Qualifications/Requirements
• Minimum of 4 years of prior executive assistant experience in TV or features (preferably at a studio or network) supporting senior executives.
• Minimum 1 year experience using Microsoft Office (Word, Excel, Outlook, etc.)
• Bachelor's degree or higher.
• Willingness to work overtime and be flexible with hours.
• Must be willing to work at 30 Rockefeller Center.
• Must be 18 years or older.
• Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program.
• Must submit an attestation disclosing your COVID-19 vaccination status and, if partially or fully vaccinated, submitting your vaccination record no later than 7 days following commencement of employment.
• Must be fully vaccinated against COVID-19 at the commencement of employment or must undergo regular COVID-19 testing if Company determines your job position requires accessing an NBCUniversal worksite.
• Must be willing to adhere to all Company COVID-19 workplace safety policies and protocols.
