This Secretary III position reports to, and provides executive support for, the Vice President, Slate Management. The qualified candidate must be able to tactfully and effectively manage the overall functional and organizational needs of a fast-paced environment. In addition, they need to be personable, show keen attention to detail, ability to manage the Executive's calendar, multi-task, and communicate professionally. The candidate will have excellent knowledge of the day-to-day requirements to be effective in this type of role and demonstrate an ability to effectively accomplish key tasks.
• Manages schedule, calendar, and meetings for the VP of Acquisitions and Licensing and the department as needed
• Interacts with senior executives of The Walt Disney Company
• Manages and prepares documents including meeting agendas and presentation materials
• Occasionally creates PowerPoint presentations and other presentations using MS Office Suite
• Partners and works extensively with internal departments to provide and/or receive the necessary information, materials, approvals, updates, etc.
• Manages Travel and Expense (including an understanding of company expense policies) and creates expense reports and reconciles credit card accounts as needed
• Maintains files, coordinates pickup and delivery of materials as requested including scheduling courier and overnight services
• Maintains standards of strict confidentiality with respect to all matters and documents.
• Promotes teamwork both internally and externally, works exceptionally well with executives and staff at all levels
• Assists with departmental tasks, including conference room requests
• Drafts correspondence and manages incoming/outgoing mail
• Complete other administrative duties and departmental projects as assigned
Basic Qualifications:
• At least 2 years of experience in an executive support administrative position or equivalent experience
• Excellent computer proficiency – Mac & Windows: Microsoft Word, Excel, PowerPoint
• Excellent and professional phone skills
• Demonstrated ability to prioritize, meet deadlines, make decisions and change the course of action quickly
• Extremely comfortable working in fast-paced environments
• Detail-oriented with the ability to maintain professionalism under pressure
• Ability to anticipate needs, be proactive, resourceful, and flexible
• Ability to simultaneously handle individual tasks while maintaining perspective on the bigger picture
• Strong people skills, including the ability to work effectively with other executives, assistants, and staff at all levels
• Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously
• Effective communicator, both verbally and written
• Proactive in thinking of ways to improve productivity and efficiency
• Ability to be flexible with work schedule. Some overtime required
Required Education:
• Bachelor's Degree in Communications, English, Business Administration or equivalent combination of experience
Preferred Experience:
• Prior experiences on a high-volume executive desk
• Workday experience
• Entertainment Industry experience
• Previous Executive support experience
• Experience working with International territories and time zones preferred
