Capitol Music Group is seeking a highly motivated Coordinator to support the SVP, Head of Creative Sync Licensing, and team. In this position, the Coordinator will be an integral part of the Sync team. The candidate will be the first and primary point of contact for all audio and sync needs both internally and externally. They will provide administrative support to the head of the sync department which requires attention to detail, great organizational skills, exceptional communication, and the ability to juggle multiple critical tasks on tight deadlines in a high-pressure environment. No task is too small and no challenge too great. A ''can-do'' attitude and resourceful nature is essential. The ideal candidate has a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives both inside and outside the company.

As a key member of the Creative Sync Team, you will support and interact with an extremely wide swath of music and entertainment professionals both within the Capitol Music Group organization and across all areas of media. The broad industry skills you will acquire and sharpen will create an invaluable understanding of industry at large. Passion for music, entrepreneurial spirit, polished professional demeanor, ability to keep calm under pressure and desire for a career in sync is a must. Ideal candidate has a finger on the pulse of popular culture and entertainment.

How you'll CREATE:

Responsible for all administrative duties for SVP, Head of Creative Sync Licensing, including:
• Manage/update calendars and coordinate and prioritize incoming requests
• Schedule meetings, book conference rooms and set up zoom links or conference lines
• Greet meeting participants, order and set-up food service for meetings, make reservations, etc.
• Screen and direct calls/inquiries, take clear messages gathering key details
• Manage and submit expense reports
• Book business travel (accommodations & transportation)
• Maintain a strong working knowledge of employees, and important external contacts
• Work closely with other coordinators & administrative assistants
• Regular meeting prep, agenda, coordination, and note taking
• Interact with vendors and promptly process invoices

Providing administrative support for the sync team, duties include:
• Create, update, and maintain priority documents and assets including external pitch decks, weekly internal release schedule, one sheets and audio assets
• Primary point of contact for clients on all audio and sync asset needs
• Responsible for compiling and tagging all metadata on audio assets, as well as fulfilling all audio requests externally to clients and internally as needed
• Responsible for creating and sending all music marketing blasts via DISCO
• Logging and tracking of all incoming Sync licensing requests and confirmations
• Preparation of agenda, materials and note taking for meetings
• Maintain & update team Airtable & DISCO database (adding contacts, logging pitches, logging marketing blasts, updating reports, etc.)
• Uphold discretion while working closely with confidential incoming briefs and music, ensuring all is properly stored, tagged, and distributed
• Willing to contribute when called upon to artist brainstorms and pitch opportunities
• Interfacing with label teams, managers, and artists to represent the broader sync team and sync initiatives
• Responsible for all show/showcase blasts and fulfilling all client ticket requests
• Willing to cover all shows
• Additional duties as assigned

Bring your VIBE:
• 1-2 years of sync, marketing and/or administrative experience.
• Strong administrative, organizational, and creative skills
• Must love music and be very passionate about it!
• Ability to interact comfortably and effectively with employees of the company at all levels including Senior Management and external partners
• Strong computer skills are a plus – Preferred but not required experience using Microsoft Outlook, Box, DISCO, Airtable, Excel, Google docs
• Ability to multitask and prioritize in high pressure and speed environment
• Ability to keep information highly confidential
• Must be flexible and able to quickly adapt in work environment
