THE DEPARTMENT

The Corporate Communications group handles external communications on behalf of CAA, including media relations, speaking engagements, advertising, and marketing materials. In addition, we run internal communications, such as the Intranet, companywide announcements, and the Full and Evening Staff Meetings. The department includes the Events team, which handles all CAA-hosted events; Digital Marketing, which is responsible for CAA's social media and web presence; and Creative Services.

Job Description

THE ROLE

The Special Events Manager is an extremely detail oriented and organized individual who works to ensure clients/agents have all their needs met before, during, and following each event. They will be responsible for managing all event logistics, including catering, vendor arrangements, pre-event calls, event briefings/recaps, budgeting, among other things, and continually works to build, develop and maintain relationships with internal and external vendors.

This individual must work well under pressure, manage multiple events at a time, and make tough decisions of significance autonomously and in a timely manner.

The Events Manager will support the Head of Events in all areas and have responsibilities of their own:
• Work with the Head of Events on managing the frequent screening/events in the LA office – calendar, communication process, press, photos, sponsors, etc.
• Work to maintain the screening bookings calendar with the Events Assistant.
• Support Head of Events with external parties by managing pieces of them i.e., security, photographer, DJ, etc. as assigned
• Work with general counsel on contract negotiations for venues and vendors with whom we work with on a regular basis.
• Work with finance on venue and vendor payments.
• Maintain venue/event grids (already in existence) for major cities allowing us to quickly respond to venue suggestion requests for our own needs and client needs.
• Manage invitation approvals with Creative Services.
• Ensure all logistics for the event(s) have been considered and discussed, in order to meet and exceed all expectations.
• Provide 24/7 customer service.
• Manage vendor negotiations and budgeting.
• Track and provide immediate support for any issues that arise. This includes anticipating any issues, developing contingency plans, and managing last minute or unforeseen complications.
• Manage special requests by Clients or Agents, including, riders, etc.
• Create a comprehensive briefing through meticulous planning, in depth discussions, contract details and additional research as needed, to ensure all parties expectations are aligned and the event is flawlessly executed

QUALIFICATIONS
• BA/BS from an accredited University or College preferred.
• 4+ years of experience with event management and/or hospitality and logistics preferred.
• Customer service experience
• Proficiency in Microsoft products. Concur, ZKipster also a plus.
• Experience that demonstrates the ability to multitask and constantly reprioritize workload.
• Exceptional verbal, written and interpersonal communication skills.
